GeoTapp vs Sage 2026: payroll system or proof of field work?

July 24, 2026 ยท 4 min

What they actually do, and why they are not rivals

You are working out how to bring order to your service business, and someone tells you to look at Sage. You land on their site and find accounting, payroll, HR administration, compliance. Serious tools, genuinely useful ones. Then you come back to the problem that sent you searching in the first place: the client disputing a job from last Friday, and you with nothing in your hand to answer him.

Here is something nobody says out loud: Sage and GeoTapp are not two products fighting over the same seat. Sage sits upstream, in administration. GeoTapp sits where the crews actually work, out on site. Calling them competitors is convenient for whoever is selling, but it does not help you decide.

The real overlap is thin: both, in the end, produce numbers about hours. But those numbers are born in opposite ways, and that changes everything.

Where Sage is stronger

Credit where it is due. Sage is a mature business system with decades of craft behind it: accounts, payslips, statutory filings, reporting your accountant actually recognises. If your problem is keeping the books straight and paying people without missing a deadline, Sage does work we do not do and do not pretend to do.

There is also the weight of a known name and a network of advisors who already understand it. For a company that is growing and needs an administrative backbone, that maturity counts for real.

Where GeoTapp is different, not better, different

GeoTapp was not built to do the books. It was built around a question business systems treat as a footnote: when the invoice is disputed, what do you actually have in your hand?

In an admin system, hours arrive declared: someone types them, someone else approves them. On paper that works, right up until somebody doubts them. In GeoTapp the record is built to be evidence: every check-in carries a GPS position and a timestamp that cannot be quietly edited, designed to be shown to the person on the other side of the table.

And it is not only about how solid the data is. Under the UK GDPR monitoring has to be necessary and proportionate to a stated purpose, and the ICO has been consistent that “just in case” is not a purpose. GeoTapp records the start and the end of the job and then stops, because a position running all day tells you where someone had lunch, and that is exactly the data that turns a sound tool into a liability.

When Sage is enough

Sage is enough when your pain is administrative and the field gives you no trouble. If you need tidy accounts, payslips on time and a smooth relationship with your accountant, and your clients have never once disputed a job, buying anything else would be paying for a problem you do not have.

When you need GeoTapp

You need GeoTapp when the money you lose is not lost in the office but at the client’s door. When a facilities manager says the cleaners skipped a floor, when a main contractor withholds payment because “nobody was there on Tuesday”, when your word against theirs has already cost you an invoice you will never see again. A correct payslip does not defend you there. What defends you is proof of what was done, where and when.

How to decide, and why the answer is often both

Ask yourself one question and answer it honestly: in the last twelve months, what cost you more, a mistake in administration or a job you could not prove? If it was the first, your investment belongs upstream. If it was the second, no business system, however complete, closes that gap.

The most common case, though, is that you need both. The proof is born on site and ends up inside the administration, and a record that is solid at the source makes everything downstream easier, invoicing included.

How many disputes would you have closed with geolocated proof at hand?
