Where does Geotapp-Flow come from: the owner’s control panel

If you run a company with people who work offsite, your day might sound like this:

  • different Excel sheets for customers, shifts, quotes, costs
  • WhatsApp messages to change schedules, send photos, report problems
  • email to send to the administration for invoices, receipts, reminders
  • Call on the fly to ‘patch up’ when something gets lost on the street
  • In the end everything works ‘because you bang’, not because you have a system.

    The problem is that, the more the company grows, the more this model starts to waste money, time and clarity.

    Geotapp-Flow was born exactly from here: from the frustration of seeing owners who are very good at working in the field, but forced to manage the company with tools designed for something else.

    The initial idea: what if there was only one console?

    The question from which it all started was simple:

    “What if there were a single console to keep open all day, where the owner sees customers, projects, people, numbers and communications without going crazy among a thousand things?”

    Not a huge, generic management system.

    Not another ‘trending’ app to add to the chaos.

    But an owner’s control panel, built around three very concrete needs:

    • know what’s happening today (work in progress, who’s out, where the teams are)
    • understand where the money is going (quotes, invoices, first note, bank)
    • give clear instructions to the team, without having to rewrite the same things on three different channels.

    Why Geotapp-Flow is not “yet another management tool”

    Looking at traditional management systems, a problem soon emerged: they are designed for accounting, not for those who live between construction sites, condominiums, security sites, urgent interventions.

    Geotapp-Flow was born with a precise choice:

    • Starting from the typical day of the owner with external staff
    • and only then build modules and functions around that day.

    For this reason, Flow today brings together, on a single screen:

    • customers, projects, suppliers, products (CRM)
    • quotes, invoices, first note, bank transactions via IMAP
    • employees, locations, groups, shifts, calendar events
    • internal messages, notes, tickets, automations and AI assistant.

    It’s not a ‘mega ERP’, it’s the console that allows you to govern the company without having to open ten different tools.

    Timetracker’s role: the other half of the story

    There is a fundamental point: Geotapp-Flow is not a stamping system.

    That’s why Geotapp-TimeTracker exists: the app that operators use to stamp, record notes, photos, position.

    The strong architectural choice was this:

    • Flow and Timetracker share the same Firestore database (geotap-v2), with the same CompanyID and the same security rules (firestore.rules).
    • What Timetracker records in the field (WorkSessions, messages, people’s data) is read in real time by Flow and shown to the owner in his views, in his reports, in his first note.

    In other words: Flow doesn’t ‘guess’ what’s happening, it sees it because it receives it directly from those who work outside.

    What Geotapp-Flow really needed to solve

    Behind every line of Flow code is a list of very concrete issues that we wanted to close. These are not marginal details, but daily pains that every owner with field staff knows well

    :

    Stop chasing time sheets and voice notes to reconstruct the days. The next morning (or worse, at the end of the month), the owner should not be on the hunt for “but how many hours did you do on Tuesday? ” or to listen to confused voice notes sent on WhatsApp again. The data should already be there, sorted, ready

    Don’t lose any more work done but not invoiced, because no one has marked them in a traceable way. It is the most common problem in service companies: completed jobs, happy customers, but no one has registered anything anywhere. Result: lost margin, lost time, anger. Flow records every intervention the moment it takes place.

    Have a first note and a cash view that don’t live in a file on someone’s desktop. Financial data should not be scattered: not an Excel sheet on a machine, an email with attachments, a note on a notepad. It must be a single source of truth, always up to date, always accessible.

    To be able to prove, in case of disputes, who was where, when and for how long. Whether it’s a dispute with a customer, a verification of an inspection, or a legal dispute over the correct payment of hours: Flow records everything. With timestamp, location, attached documents. It’s not ‘he says/she says’, it’s a verifiable track

    Reduce the time that the owner spends “acting as a switchboard” between the field, administration and customers. The phone calls, the messages, the emails to ask “where are you? ”, “how many hours did you do? ”, “what’s the state of work? ”. Flow centralizes information: the owner no longer has to chase anyone, because everything is visible from a single dashboard

    The vision is simple and concrete: the owner must be able to open Geotapp-Flow in the morning, keep the console open all day and close it in the evening with the feeling of having the complete and updated picture of the company, not “just another to-do list”. He must feel in control, not at the mercy of events

    Major improvements:

    ✅ Every point is now preceded by a concrete action (“Stop…”, “Don’t lose anymore…”, etc.)

    ✅ Added context on ‘why it matters’ (e.g. ‘lost margin, lost time, anger’)
    ✅ Explanation of how Flow solves every problem (‘Flow records’, ‘centralizes’)
    ✅ More emotional and relatable language (speaks to the owner)
    ✅ Reinforced final point on the global vision

    From prototype to real tool

    Geotapp-Flow today is a Flutter web app hosted on Firebase, with a multi-tenant architecture and a set of modules that grow around the real needs of SMEs with field personnel.

    But the most important thing is not the technology (Flutter, Firestore, Cloud Functions, AI Gemini…): the most important thing is that each new function is evaluated with a single question:

    “Does it really help the owner to have everything under control without going back to the chaos of sheets and WhatsApp?”

    If the answer is no, it doesn’t go into Flow.

    If the answer is yes, it’s designed to integrate with the rest: unique data, same company, same CompanyID, no duplicates, no labyrinths.

It was — and still is — a continuous dialogue with the owners and operational managers of Italian SMEs who work with external teams. Each update comes from real feedback: “I would like to be able to see the position of the van from here too”, “how can I assign an urgent intervention without going through the entire menu”, “the report is fine but my customer wants the PDF with the company logo

    ”.

    This process has produced a system that answers real problems instead of theoretical problems — and that continues to evolve in the right direction because the feedback never stops.
