May update: the weekend Flow grew up

Saturday evening, while you were probably picking the right wine for dinner, and Sunday morning, while you were enjoying a slow coffee, something else was happening behind the GeoTapp curtain. Five developers, far too many badly ordered pizzas, a whiteboard covered in flowcharts, and a coffee machine that didn’t get a single break. Long story short, it was a furious weekend on our end. The result is this workforce management software update inside Flow, and it changes how you plan, execute and prove the work.

This isn’t a cosmetic refresh. It’s a quiet rewrite of seven product areas and eighty small fixes you probably won’t notice individually, but you’ll notice the difference they make together. Forget technical changelogs. Here’s what it actually means for your working day.

Spot jobs and recurring projects, finally on one calendar

You used to think on two parallel tracks. One-off spot jobs — the Saturday morning emergency callout — lived in one place. Recurring projects — the cleaning crew you send out every Monday-Wednesday-Friday — lived in another. You opened your calendar and saw half a puzzle.

For spot jobs there’s a new “open to availability” mode: instead of you assigning every shift manually, you broadcast the job to a target group and the workers respond from TimeTracker. “Finish work” is one tap. The rest happens while you sleep

Job closure is now a two-step flow. The worker on TimeTracker presses “Finish work” when they’re actually done — the button only enables once they’ve clocked out and uploaded the required photos, so you no longer end up with jobs that are technically “closed” without proof. The system flips the status to under review and you get a notification on Flow.

You open the “Awaiting review” dashboard, preview the chronological package, hit confirm. From there everything happens by itself: the system generates a ZIP archive with a geo-timestamped timeline, proof photos and an ECDSA signature, drops it into the cloud (signed with ECDSA P-256 per NIST FIPS 186-5), and emails it to the client automatically — with your company logo, the subject line formatted the way you like it, in English for English clients and in their language if needed. You’re already at the dinner table.

Reports that actually filter

The Reports page has been rebuilt from scratch. Real filters now: date, client, project, worker, team, location, status. All combinable. Want every job closed in March by Mark and Lucy at the Smith & Co. site? Three clicks. Multi-select, batch download up to two hundred archives at once, aggregate CSV export. Disputed claims, audits, the FM company asking for last quarter’s evidence — all things that used to take half a day and now take five minutes.

A client is a person, not an email address

The client record has grown up. You now capture trading name, VAT/company registration number with checksum validation, billing address separate from the operational one, primary contact with direct details, and even the client’s company logo — handy when you send branded reports. There’s a dedicated field for the list of email addresses to send automated reports to: the office manager, the FM, the maintenance lead, all in one click.

Your phone calendar will thank you

Every worker now sees their assigned jobs directly in their phone’s native calendar — Google Calendar, Apple Calendar, whichever they use. One-way sync from our system to their device, with a reminder thirty minutes before each start. No more “sorry boss, it slipped my mind”. And when you assign a shift or do a substitution, the native calendar updates in real time. Apple Watch and Wear OS supported, because the wrist is always closer than the pocket.

No fake trophies. Real milestones

We turned onboarding into a journey. Set up your first site, unlock a milestone. Invite your first worker, unlock another. Create your first job, log your first expense, export your first report — every step ticks a green check. Hit twelve milestones and we hand you the diamond badge. Is it gimmicky? Yes and no. It works because the companies that get configured properly in their first week are the ones that stick. Helping you not skip steps isn’t a detail.

Notifications that arrive. Always

Sounds obvious, wasn’t. Between Android’s Doze mode, aggressive optimisations from Samsung and Xiaomi, and a couple of our own bugs, push notifications used to arrive late or not at all. They now travel with high priority, dedicated channel, sound and vibration by default. They survive battery saver. If a client sends Mark a chat message, Mark gets it. If you assign a spot job, the candidates know within seconds. The thing that should obviously work, finally does.

And the eighty invisible micro-fixes

The kind you won’t see, but you’ll feel. The “Export data” button that finally ticks the milestone (yes, it didn’t before). The Email module that no longer spams five hundred errors per minute like a possessed fax when IMAP isn’t configured. The “Product catalogue” title that actually says “Product catalogue” in eleven languages instead of “Customer catalogue” in Italian everywhere. In-app notifications that now show in the bell at the top right — they used to be written to the database and nobody read them, basically a secret diary. The Android TimeTracker that no longer crashed on the first chat message — our testers had developed a kind of Galaxy-induced PTSD.

All of it, this weekend. Monday morning it’s live. You didn’t have to do anything.
